What is the difference between self-inking and pre-inked notary stamps?

Self-inking notary stamps include a built-in ink pad that automatically re-inks the stamp after each impression. They’re designed for efficiency and are a popular choice for notaries who frequently stamp documents.

Pre-inked notary stamps store ink inside the stamp material itself, releasing ink through the text plate with each use. They’re known for producing especially sharp, detailed impressions.

What materials can I use a notary embosser on?

Notary embossers are best used on standard paper, typically 20 lb. paper or lighter. They create a clean, raised seal without tearing or damaging the document.

Heavier paper stocks or specialty materials may not emboss as clearly.


How do I submit my notary certificate to purchase a notary stamp or embosser?

The submission process depends on your state's requirements. Please follow the instructions below based on whether your state requires you to mail in your certificate or allows an upload:

For states that require mailing the original certificate:

  • Mail your notary certificate to:
    • Notary Processing

    • Be sure to write down this address.
  • Include the following with your certificate:
    • Original notary certificate (copies will not be accepted)
    • Your name and order number exactly as it appears on your order confirmation
  • Important Note:
    • Production of your notary stamp or embosser will begin once we receive your original Certificate. Please note that the delivery date provided at checkout does not account for the time needed to mail in the certificate.

For states that do not require mailing the certificate:

If your state allows an upload of the notary certificate, please follow these steps:

  • Upload the certificate
    • A state notary certificate is required for each notary item ordered.
    • Upload your certificate in PDF or TIFF format.
    • When prompted, click ‘Choose files' to locate your file. Then, double-click or select ‘Open’ to add your file to the order.
  • Certificate validity
    • A valid state certificate is required, with each notary stamp or embosser ordered.
    • Please check state requirements to ensure your certificate is valid to avoid order delays. (Note: state training certificates may not be valid in all states.)
  • Certificate review
    • Uploaded certificates are reviewed manually for authenticity within one business day of order submission.

Do I need both a notary stamp and a notary embosser?
